Crooked Tree Arts Center (CTAC) is a non-profit organization serving Northern Michigan for over 50 years. At CTAC, our mission is to create ways for people to connect, learn, and grow through the arts. We offer year-round visual arts exhibitions, classes, lectures, performances, and other special events.Position Overview:
As the Engagement Coordinator at Crooked Tree Arts Center-Petoskey, you will play a key role in managing and expanding the membership and volunteer programs. Under the supervision of the Development Director, you will provide essential administrative and operational support to ensure the smooth functioning of the development department, including database management. You will be responsible for deepening and expanding relationships with members and donors, managing member benefits, and overseeing special events, projects, and programs that enhance member and donor engagement
This position involves tasks such as gift processing, membership tracking, volunteer coordination, and maintaining accurate records. The ideal candidate is detail-oriented, highly organized, and personable, thriving in a dynamic, fast-paced, and creative environment.
Essential Duties and Responsibilities:Membership Management & Donor Stewardship
- Serve as a primary point of contact for members and prospective members, responding to inquiries and providing information about membership benefits, programs, and opportunities.
- Provide excellent customer service and foster positive, ongoing relationships with members and donors.
- Collaborate with the Development Director to develop and implement strategies to attract, retain, and engage members.
- Identify and develop opportunities to increase member engagement and strengthen the overall membership experience.
- Coordinate and implement member benefits, including special events, mailings, promotions, and other engagement opportunities.
- Process memberships, donations, class registrations, event tickets, and other transactions in person, by phone, and online.
- Support membership and donor communications, including renewal letters, emails, and phone outreach.
Database Management
- Manage and maintain accurate membership, donor, and engagement records within CTAC's CRM system (Neon).
- Monitor membership renewals and expirations and support proactive outreach to encourage renewals and reduce attrition.
- Maintain accurate and consistent data, including reviewing records for duplicates and other discrepancies.
- Generate and maintain reports to track membership status, growth, retention, revenue, and engagement.
- Segment member and donor data to support targeted communications, stewardship, membership campaigns, and fundraising efforts.
- Work with Development Director and Marketing to ensure accurate lists and data for communications, events, campaigns, and donor stewardship.
- Analyze membership and donor data to identify trends, opportunities, and areas for improvement.
- Provide database and reporting support for Development Department initiatives, events, and board or committee needs.
- Stay current on Neon functionality and identify opportunities to improve database processes and reporting.
Volunteer Coordination- Manage the volunteer database and serve as a primary contact for volunteers across CTAC program areas.
- Support volunteer recruitment, engagement, and retention efforts.
- Coordinate volunteer assignments based on skills, interests, and availability.
- Provide ongoing communication, support, and resources to volunteers.
- Maintain accurate records of volunteer hours and participation.
- Recognize and celebrate volunteer contributions through appropriate communications, events, and other appreciation efforts.
Event & Engagement Support
- Assist with the planning, coordination, and execution of fundraising, membership, and engagement events.
- Support event logistics, including registration, volunteer coordination, sponsorship fulfillment, and on-site execution.
- Collaborate with staff to create positive and engaging experiences for members, donors, volunteers, and guests.
Guest Services
- Provide front desk coverage on a limited, as-needed basis.
- Answer general visitor questions regarding programs, events, classes, and facility information.
- Process Sales Gallery transactions as needed during coverage shifts.
Knowledge, Skills & Abilities
- Strong written and verbal communication skills with the ability to interact professionally with members, donors, volunteers, staff, and visitors.
- Excellent customer service skills, including the ability to respond to inquiries, resolve issues, and build positive relationships.
- Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
- Proficiency with databases and customer relationship management systems; experience with Neon preferred.
- Proficiency with Google Workspace (Docs, Drive, Sheets, etc.) and the ability to learn and adapt to new technology.
- Ability to handle confidential information with discretion and professionalism.
- Ability to work independently while also collaborating effectively with a team.
- Knowledge or experience in an arts or nonprofit environment is a plus but not required.
Minimum Qualifications
- Bachelor's degree preferred.
- Previous experience in customer service, sales, membership management, nonprofit, or a related field.
- Equivalent combination of education and experience may be considered.
