    Reports To:  Coordinator for Administrative & Executive Services
     
    Compensation & Employment Details 

    • Pay: $17-19 per hour; commensurate with experience
    • Employment Type: Seasonal, part-time. Housing is not provided.

     Organization Overview 
    The Bay View Association (BVA) is a National Historic Landmark and an independent 501(c)(3) nonprofit offering Chautauqua-style programming in Performing Arts, Worship & Religious Life, Education, and Recreation. The Bay View community includes 444 Victorian cottages, 2 inns, 30 historic buildings, and approximately 900 members along the shores of Lake Michigan. 
     
    Position Summary 
    The Front Office Assistant is a customer service oriented administrative position who will assist the Coordinator for Administrative & Executive Services in carrying out the daily, routine operations of the administrative office. This individual will join our team serving members, guests, and staff in a friendly, professional manner. He/she should be comfortable undertaking a variety of activities in the office including answering phones, helping members/customers, and assisting with projects required per direction from the Coordinator for Administrative & Executive Services. Reliability, attention to detail, and a strong work ethic combined with great communication skills are a must, as well as familiarity with all necessary office equipment, software, and procedures. 
     
    Key Responsibilities 
    • Answer phones in a timely manner, direct calls, and relay messages to the appropriate staff.
    • Answer questions related to all aspects of the Association.
    • Assist members with login information to our website.
    • Print and stock literature as needed.
    • Filing as needed.
    • Accept and process payments using Clover.
    • Collect, process, and distribute mail accordingly on a daily basis.
    • Update the Cash Receipts Log daily.
    • Process membership applications throughout the entire membership process.
    • Create/mail new member packets after each Board meeting.
    • Accept and record deposit bags from campus events.
    • Assist the Coordinator for Administrative & Executive Services with the Annual Meeting, Town Hall Meeting and By-Law Candidate Forum.
    • Perform other duties and tasks assigned by the Coordinator for Administrative & Executive Services.
     Qualifications 
    • Ability to multi-task in a fast-paced non-profit environment.
    • Excellent internal and external customer service and can-do attitude.
    • Excellent oral and written communication skills.
    • Ability to work efficiently with Microsoft Office Suite and Office 365.
    • Ability to learn, use and troubleshoot all office equipment.
    • Ability to work unsupervised and cooperatively in a team environment.  
      FLSA Status: Nonexempt
